The Phone profile allows administrators or managers to configure automated recording triggers. These triggers determine the method to record inbound or outbound calls. Note: changes cannot be made to the Phone and On-Demand Only profiles.

Viewing Phone Profile Settings

You can view rights assigned to a phone profile.

To view the phone profile settings:

  1. Select Configure > Phone in the navigation pane.
  2. Select the phone profile name from the Phone Profile group box. The rights assigned to the selected phone profile are displayed.



The On-Demand Only and Phone profile settings cannot be changed.

Creating a New Phone Profile

Users with the required profiles can create phone profiles and assign various rights to them for recording and monitoring phone calls..

To add a new phone profile:

  1. Select Configure > Phone in the navigation pane.
  2. Click Add in the Phone Profile group box. The Add Phone Profile dialog box opens.

  3. Specify a profile name in the Profile Name field. The profile name can have a maximum of 20 characters.
  4. Select a profile owner from the Profile Owner list. The "x" indicates the extension number of the user.
  5. Click Save. The profile name is added to the Phone Profile.
  6. Select the phone profile name and set the required triggers in the Inbound Calls, Outbound Calls, and Schedule group boxes. For more information, refer to the Assigning Recording Triggers to a Profile section within the Administrator's Manual.
  7. Add users to the phone profile members list. For more information, refer to the Adding and Removing Users from Phone Profile section of the Administrator's Manual.

Editing Phone Profiles

To edit an existing phone profile:

  1. Select Configure > Phone in the navigation pane.
  2. Select the name of the phone profile that you want to edit in the Phone Profile group box. The recording triggers for the profile are displayed.
  3. Click Edit to change the profile name. The Edit Phone Profile dialog box opens.

  4. Make the required changes in the Profile Name and Profile Owner fields.
  5. Click Save to save the changes.
  6. Edit the recording triggers to update the configuration options.

Deleting a Phone Profile

You can delete a phone profile. All of the members of the deleted phone profile will become members of either Phone or On-Demand Only profile depending on the license assigned.

To delete a phone profile:

  1. Select Configure > Phone in the navigation pane.
  2. Select the name of the phone profile that you want to delete and click Delete. A confirmation message appears.

  3. Click Yes to delete the phone profile.

Adding or Removing Users from a Phone Profile

Users with required permissions can move users from the Non-Members list to the Members list for the phone profile or from Members to Non-Members.

To add or remove users from a phone profile:

  1. Select Configure > Phone in the navigation pane.
  2. Select a phone profile in the Phone Profiles group box.
  3. Select the users to be moved.
  4. Click the button to move the users from the members list to the Non-Members list, or click the to move the users from the Non-Members list to the Members list.

Assign Recording Triggers to a Profile

Recording triggers enable you to record specific phone calls, all calls, or recording a percentage of inbound or outbount calls. To begin, select the name of a profile and set the triggers.

Inbound Calls

The inbound call recording trigger can be configured either for a percentage of the total inbound phone calls or for specific caller ID numbers and caller ID names.

To configure inbound calls trigger:

  1. Select Configure > Phone in the navigation pane.
  2. Select the name of the profile in the Phone Profiles group box.
  3. In the Inbound Calls group box, specify a percentage of the total inbound phone calls to be recorded.


  4. Alternatively, specify a Caller ID Number or Caller ID Name for setting the inbound triggers if the PBX is set to retain this data. Select the respective check boxes to activate these filters.



  5. Click Add in the Caller ID Numbers group box to add a trigger. The Add Inbound Number Trigger dialog box opens.



  6. Enter the inbound trigger number in the Number field. You can add caller ID numbers by using wildcards such as * or by entering specific numbers in the Number field.
  7. Click OK. The number is added to the Caller ID Numbers list.
  8. Click Add in the Caller ID Name group box to add a trigger. The Add Inbound Name Trigger dialog box opens.



  9. Enter a caller ID name in the Name field. You can add caller ID names by entering the exact name or by using wildcards such as *. Enter * to record range of names. For example, entering "John *" will record any caller by the name John (for example John Doe, John Deere, and so on) calling into the system.
  10. Click OK. The name is added to the Caller ID Name list.

Note: Select a name or number, and click Edit to edit the parameter. Select a name or number, and click on Delete to delete the parameter.

Outbound Calls

The outbound call recording trigger can be configured either for a percentage of the total outbound phone calls or for specific outbound numbers.

To configure outbound calls trigger:

  1. Select Configure > Phone in the navigation pane.
  2. Select the name of the profile in the Phone Profiles group box.
  3. In the Outbound Calls group box, specify a percentage (0% to 100%) of the total outbound phone calls to be recorded.


  4. Alternatively, triggers can be set for outbound numbers being dialed. These are the digits dialed from the phone set. Select the Numbers check box to activate the outbound numbers trigger.



  5. Click Add in the Numbers group box to add a trigger. The Add Outbound Number Trigger dialog box opens.



  6. Enter the outbound trigger number in the Number field. You can add numbers by using wildcards such as * or by entering specific numbers in the Number field.
  7. Click OK. The number is added to the Numbers list.

Note: Select a number, and click Edit to edit the parameter. Select a number, and click on Delete to delete the parameter.

Inbound/Outbound Call Trigger Definitions

Trigger Name Description
% of Calls Records a specific percentage of inbound or outbound calls.
Caller ID Number Select this check box to record all inbound calls that match any of the Caller ID numbers.
Caller ID Name Select this check box to record all inbound calls that match any of the Caller ID names.
Number Select this check box to record all inbond calls that match any of the outbound numbers.

Schedule

You can set recording triggers based on a schedule. Specifying the time duration is an efficient way to record specific telephone conversations, rather than recording all calls for a user.

To configure recoding triggers by schedule:

  1. Select Configure > Phone in the navigation pane.
  2. Select the name of the profile in the Phone Profiles group box.
  3. in the Schedule group bod, select the Activate Schedule check box to activate the Schedule group box.



  4. Select the period from the Start Date and Stop Date lists.
  5. Select the time from the Start Time and Stop Time lists.
  6. Select the check boxes to specify the days for which recording triggers should be active.
  7. After adding a new phone profile, select another profile to apply these changes.

On-Demand Licenses and the On-Demand Only Profile

If you have purchased On-Demand licenses, then CallRex creates a phone profile called On-Demand Only. All On-Demand users are assigned to this profile. this profile is limited to on-demand, ad hoc recording only. Click Record to initiate any recording.

Note: Changes cannot be made to the On-Demand Only profile, since it does not support any triggers or schedules.
